AI & automation · from the quote to payment received

Your quote takes two hours. Your competitor's takes ten minutes.

Whoever sends a clean quote first wins more often. We automate the whole route up to payment received – you check and approve.

What happens here

From yes to a paid order.

A quote from a template, an invoice in the right format, payment reconciled.

The red seal

People give the final approval.

First a measurable pilot at a binding price after the first consultation. We scale up when the numbers add up.

Does this sound familiar?

Between „yes, we will“ and „the money is in“ lie too many manual steps.

The quote is created in Word; for the invoice, the line items are typed a second time. Each step is small – together they slow down quotes and invoices.

How it works

To a route that runs through, in three steps.

Step 1Record the route

Two real cases show where things get stuck.

Step 2Quote first

Template, price logic and approval – that is what wins orders.

Step 3Bring invoice and format in line

E-invoicing and payment reconciliation, with a test run before the deadline.

The technical view

Issuing e-invoices: what „structured“ means.

The deadlines

As things stand, the obligation to issue applies from 1 January 2027 where prior-year revenue exceeds 800,000 euros, and from 1 January 2028 for everyone else. We handle incoming invoices under Documents & email.

A PDF is not an e-invoice

A PDF does not meet EN 16931. What is required is XRechnung or ZUGFeRD from 2.0.1 – which one fits depends on your recipients.

The test run

Format errors only show up at the recipient's end. That is why real invoices go out before the deadline to a few customers who have agreed.

Your accounting stays as it is

The automation sits before and after it. Your tax adviser receives everything the usual way.

Common questions

Quotes & invoices – what managing directors ask us.

Does a quote go out automatically?

No. The system prepares it, you check and approve. Only for narrowly defined standard cases do we set up automatic sending at your express wish – and even then with a log.

Do we have to change our accounting for that?

No. We dock on to what you use and keep the DATEV route via your tax adviser open. A change of system is expressly not a precondition.

XRechnung or ZUGFeRD – what do we need?

That depends on your recipients. Public bodies generally require XRechnung; in open B2B, ZUGFeRD is more convenient because the PDF stays readable for people. We set up both if your client base is mixed.

Is that legally covered then?

That assurance we do not give – we are not tax or legal advisers. We build the technology so it serves the common formats and retention routes cleanly. Whether your approach fits in your case you settle with your tax adviser.

What happens to our old quote templates?

We take those as a starting point. Your wording and your structure stay – they simply arise from data in future instead of copy-and-paste.

How long does the rollout take?

The quote side is usually productive in one to three weeks. Outgoing invoicing, including formats and a test run, takes two to six weeks depending on the accounting connection.
