AI & automation · the inbox works ahead

100 invoices a month means 25 hours of retyping.

AI reads and pre-sorts receipts and post – your team checks and approves.

What happens here

Read, sorted, prepared.

Receipts are assigned, drafts are ready.

The red seal

People give the final approval.

First a measurable pilot at a binding price after the first consultation. We scale up when the numbers add up.

Does this sound familiar?

The flood of e-mail does not sort itself. Until now.

In the shared inbox, orders sit next to complaints – someone spends an hour sorting every morning. Invoices are still typed in by hand.

What does retyping really cost you?

Degree of automation set conservatively at 75 % (the check stage stays with a human). Runs locally in the browser.

13 hrsManual work saved per month
7.000 €saved per year (benchmark)

How it works

To an inbox that works ahead, in three steps.

Step 1Review the data

One week of real incoming mail shows what arrives.

Step 2Pilot: one document type

Usually incoming invoices – with a check stage for uncertain cases.

Step 3Extend

More receipt types and contracts. The approval stage stays.

The technical view

E-invoicing obligation: what has applied since 2025.

Everyone must receive

Since 1 January 2025, every company has had to be capable of receiving e-invoices. If you only file XRechnung and ZUGFeRD invoices, you are giving away the benefit of automation.

How well does AI read?

Over 95 per cent of receipt fields are recognised. The rest is flagged by the check stage and confirmed by a human – instead of being silently booked wrongly.

In use in our own business

Our Suite assigns enquiries and prepares drafts. AI prepares, the human decides – that is how we build it for you, too.

Common questions

Documents & e-mail – what managing directors ask us.

Are e-mails sent automatically?

No – the AI prepares drafts, a human approves. Full automation we set up at most for narrowly defined standard cases, if you expressly want it. This rule protects your customer relationships – and all of us from embarrassing moments.

Does that work with scans and paper too?

Yes, via OCR – with recognition rates above 95 per cent. The system marks uncertain fields for checking instead of guessing. Paper is scanned and takes the same route as digital receipts.

Does that suit our accounting and our DMS?

We dock on to what you have – accounting software, the DATEV route via your tax adviser, an existing DMS. A change of system is expressly not needed; the automation sits in front of it.

Does that meet the e-invoicing obligation?

Yes: we set up receipt, reading and audit-proof further processing of XRechnung and ZUGFeRD and build them into your processes. That turns the obligation into an automation gain instead of another filing task.

How reliable is the recognition really?

Honestly: not a hundred per cent – which is why the check stage for uncertain cases stays firmly built in. It is not a flaw but the reason you can trust the system. The rate rises with every month of operating data.

How long does the rollout take?

A first workflow – usually mail triage or incoming invoices – is productive in one to three weeks. After that, what proves itself gets extended.
